Policies

Health & Wellness Policy:

  1. If you are sick please be considerate of classmates and teachers and refrain from attending a class.

  2. We are a peanut-free facility.

Non-Discrimination and Anti-Harassment Policy:

The Edwardsville Arts Center (EAC) is committed to equal opportunity for all persons without regard to sex, age, race, color, religion, creed, national origin, marital status, disability or sexual orientation. It is the policy of the EAC to comply with all federal, state and local laws and regulations regarding equal opportunity. In keeping with that policy, the EAC is committed to maintaining an environment that is free of unlawful discrimination and harassment. Accordingly, the EAC will not tolerate unlawful discrimination against or harassment of any of our employees or others present at our facilities by anyone, including any supervisor, co-worker, vendor, client or customer of the EAC.

Montclaire Firehouse & Bank of Madison County:

  • No pets allowed in the building.

  • No firearms are allowed in the building.

  • No alcohol is allowed in the building

  • No smoking/vaping is allowed in the building

  • Access to the building is only available to individuals enrolled in an active class.

Inclement Weather:

For the safety of students and staff, we reserve the right to close our facility in cases of inclement weather or other emergencies. We always try to email affected students as soon as possible. All closures are also posted on EAC’s website and on our social media accounts.  We will do our best to announce closures as soon as possible. If we believe severe weather will affect our evening classes, we try to make a determination by 4 p.m.

Sign in/Sign Out Policy:

Students under the age of 15 must have a parent or guardian sign their child into and out of class. Only a parent/guardian or other approved adult may check out their student. Please sign in with your name and phone number at drop off, and note if a different person will be picking up your child.

Late Pickup:

Please arrive at the scheduled class ending time. Parents/guardians who are late due to unforeseen circumstances, please call 618.655.0337 to inform the teacher. We will attempt to call points of contact twice after pickup time before contacting outside authorities.

General Studio Policies

  • Only enrolled students can attend classes or camps.

  • Parents may visit but not attend children’s camps or classes (with the exception of pre-k classes).

  • Students should refrain from bringing toys or non-essential items to camps/classes. We’re not responsible for lost or stolen items.

  • We reserve the right to refuse enrollment to disruptive students.

  • We have an Anti-Bullying policy and may refuse enrollment to students who bully others. Parents will be notified and asked to pick up their children. No refunds will be given.

  • Due to minimal storage availability all student work will be disposed of monthly. Please pick up your finished work in a timely manner.

Cancellation Policy:

Classes that do not meet minimum enrollment will be canceled 1 day before the start of class.  Students will receive notice and a full refund.

Students who cancel their registration within 7 days of class will receive a full refund.  We cannot issue refunds for non-attendance of class.

Course Fees:

Our course fees are made up of tuition, studio fees and supply fees. Tuition helps us pay our instructors, studio fees cover wear and tear on the building and its equipment, and supply fees cover the cost of supplies specific to your course. In some classes, you may be asked to purchase or bring in from home additional materials for your personal use.

Refunds:

We know life happens. If you need to drop a course, for any reason, we’ll issue you a refund provided you make your request at least 7 days before your class start date. Refunds may be subject to a processing fee. All refunds will be processed within 10 business days.

Waitlists:

If the course for which you wish to register is full, you may opt to join the waitlist. We will notify you immediately if a seat becomes available. After we notify you (by phone or e-mail), you have until the end of that business day to register for the class or forfeit your seat.

Late Registrations:

Late registrations are only allowed with the permission of the instructor and never result in a prorated course fee. Late registrations cannot be processed online; please contact the EAC for more information.

Substitutes:

We may, on occasion, need to substitute a course instructor. All of our instructors are talented artists and teachers, and the substitution of an instructor, even if made within 10 days of the course start date, is not grounds for a refund.

Cancellations and Closings:

We reserve the right to cancel any class with insufficient enrollment. If your class is cancelled, you will be offered the opportunity to transfer to another class, if one is available, or receive a full refund for the cost of the class. All transfer fees and drop fees are waived in this case.

If your class is canceled due to facility closure, our education coordinator will work with your instructor to schedule a make-up class. Prorated refunds are not available to students who cannot attend the make-up class. If a class is affected by multiple weather events and several meeting dates are canceled, it may not be possible for us to make up for each missed class. No prorated refunds are given.

Student Property:

The Edwardsville Arts Center is not responsible for artwork and other property left on the premises and has no liability if such property is lost or damaged, except in instances when artwork is displayed in a gallery exhibition and insurance coverage is in place. Any artwork left after the semester ends will be discarded. All student work will be disposed of monthly. Please pick up your finished work in a timely manner.

Photography + Video:

The Art Center will occasionally document classes and student work for promotional purposes. If you do not wish yourself or your child to be photographed or filmed, please indicate your preference during registration of classes. Recording of class sessions by students is not permitted.
